Templates are useful when they provide structure, not when they make every customer receive the same sentence. The best system keeps a consistent brand voice while changing the details that prove the reply was written for the specific review.

    5-star review template

Base structure: 'Thank you, [name]. We are glad you enjoyed [specific detail]. We will pass your feedback to [team/person when appropriate]. We look forward to welcoming you again.'

Personalize the middle of the reply. If the review mentions speed, friendliness, a particular product or a staff member, that detail should appear naturally.

Positive review with no written comment

Base structure: 'Thank you for the rating, [name]. We appreciate your support and hope to see you again soon.'

There is no need to invent a detail when the customer gave only a star rating. Keep the reply short and accurate.

    3-star mixed review template

Base structure: 'Thank you for the balanced feedback. We are pleased that [positive point] worked well, and we are sorry that [negative point] did not meet expectations. We are sharing this with the team and would be happy to learn more at [contact channel].'

Mixed reviews are valuable because they often contain specific operational information. Do not respond only to the positive half.

    1- or 2-star complaint template

Base structure: 'Thank you for bringing this to our attention. We are sorry that [issue] affected your experience. We would like to review what happened and find an appropriate next step. Please contact us at [channel] with [non-sensitive reference information].'

Keep defensive explanations out of the first public response. Investigate privately and update your process if the complaint reveals a recurring problem.

    Repeat-customer template

Base structure: 'Thank you for coming back, [name]. It means a lot that you continue to choose us. We are especially glad that [specific detail] stood out this time.'

Recognizing repeat customers can make the response feel genuinely relational instead of transactional.

Turn templates into a safe workflow

Store approved openings, closings and escalation language, then let the body of the reply adapt to the review. This makes it possible for staff or AI-assisted tools to produce replies quickly without losing brand consistency.

Review templates regularly. If customers keep raising the same issue, the highest-value action is operational improvement, not writing a more sophisticated response to the same complaint.

    Frequently asked questions

Is it bad to use the same response for every Google review?

Repeated identical replies can look impersonal. Use templates as a structure and personalize the details that reflect the actual review.

Can I include keywords in review responses?

Write for customers first. Forced keyword repetition makes replies less natural and is not a substitute for complete Business Profile information and broader local SEO work.

Can an AI tool use these templates?

Yes. Templates can define tone and guardrails while AI adapts the draft to the content and rating of each review.
